The View System

Practical Recipes

Contents

The following six recipes show how to build frequently used views. Each recipe names the goal and the settings you need—you can use them as a starting point and adjust them as you like. You set filter rules in the view editor’s Advanced mode.

Today

Goal: See all tasks that are due today.

  1. Create a new view (title, for example, “Today”).
  2. Set the filter: field Due Today, operator is, value Yes—or click Today in Simple mode.
  3. Optional: Turn on Include Inbox if Inbox tasks should appear as well.
  4. Sort ascending by Due Date, then by Title.

Tip—Add the rule Available is Yes (combination “All conditions are met”) to hide deferred tasks and tasks from on-hold projects.

Overdue

Goal: Keep track of all tasks whose due date is in the past.

  1. Create a new view (title, for example, “Overdue”).
  2. Set the filter: field Overdue, operator is, value Yes.
  3. Sort ascending by Due Date—oldest tasks first.

Caution—Overdue applies only to tasks with the status Active. Completed or dropped tasks with an old date don’t appear.

Waiting For

Goal: All tasks whose completion you’re waiting on—because you depend on someone or something.

  1. Create a new view (title, for example, “Waiting For”).
  2. Set the filter: field Waiting, operator is, value Yes—equivalent to Status is Waiting.
  3. Turn on Show project context so you can see right away which project a waiting task belongs to.
  4. Sort by Due Date (ascending, Empty Last), then by Title.
  5. Optional: Under Fields, turn on the Waiting For field.

More about the displayed fields: Display Options.

This Week

Goal: All tasks that are due within the current week.

  1. Create a new view (title, for example, “This Week”).
  2. Set the filter: field Due Date, operator is, value @this_week.
(The expression @this_week stands for the entire current week; when it starts depends on your region.)
  3. Group by Due Date so that the time windows “Overdue / Today / Tomorrow / This Week” become visible.
  4. Sort the groups by Date.

Info—@this_week also includes tasks whose due date was at the beginning of the week and has therefore already passed. If you want only the remaining due dates of this week, add the rule Due Date on or after @today.

Kanban by Status

Goal: See tasks in a Board layout, sorted by progress.

  1. Create a new view (title, for example, “Kanban”).
  2. Choose Board as the Layout.
  3. Set Board By to Status—the app automatically creates columns for Active, Waiting, Completed, and Dropped.
  4. Optional: Turn on Collapse Completed column to save space, or hide the Dropped column under Show Columns.
  5. Under WIP Limit per Column, set a limit for Active if you want to deliberately limit the amount of work.

Tip—With Swimlanes by Assigned To, you separate your cards from the AI agent’s.

More about the Board layout: Display Options.

Next Actions

Goal: See only tasks you can actually tackle now—no deferred tasks, none from on-hold projects.

  1. Create a new view (title, for example, “Next Actions”).
  2. Set the filter: field Available, operator is, value Yes.
Available automatically checks: The task is active, not deferred, the project is active, and in sequential projects it’s the first active task in line.
  3. Turn on Show project context.
  4. Sort by Due Date (ascending, Empty Last).
  5. Optional: Group by Project to bundle tasks by topic—or set Only Next Action to Per Project or Per Milestone (see Display Options).

AI tip—Add the rule Assigned To is Human so the AI tasks don’t get in your way. A separate view “AI Tasks” with Assigned To is AI keeps the separation clean; for what the agent hands back to you, there’s the fixed Back from Agent entry in the sidebar.
