TandemLoop doesn’t just work in its own window: app links, Spotlight, Shortcuts, notifications, widgets, the menu bar, a macOS service, and the share sheet on iPhone and iPad bring your tasks to wherever you are. You’ll find all the switches for this in Settings under Integration—each applies only to the device where you set it.
Settings › Integration
App Links
Every task, project, milestone, and view has a fixed link of the form
tandemloop://open/<ID>. Clicking it—for example, from
a note, a calendar event, or an email—opens TandemLoop right at that
spot: the area and project are shown, and the task is selected.
To copy an app link:
- Right-click a task, project, or milestone (on iPad: touch and hold).
- Choose Copy App Link.
- Paste the link wherever you need it.
| Context menu item | Result |
|---|---|
| Copy Link | [[tsk_…\|Title]]—WikiLink for notes and AI tools |
| Copy App Link | tandemloop://open/tsk_…—opens the app at that spot |
| Copy ID | just the ID, for example, tsk_… |
With tandemloop://capture?title=…, a link also captures
a new task in the Inbox (optionally with &body=… for
notes). Without a title, the capture form opens.
Deleted or archived? If a link points to an item that no longer exists, TandemLoop shows a short notice and stays where it was.
Spotlight
With Show in Spotlight (on by default), open tasks and projects appear in system search—with location, due date, and status. Selecting a result opens the item directly in TandemLoop. Completed, dropped, and archived items aren’t shown. The index is rebuilt in the background when the data folder opens and then kept up to date as things change; when you switch data folders, it’s cleared.
Shortcuts and Siri
TandemLoop provides these actions in the Shortcuts app (macOS and iPad/iPhone):
| Action | What it does |
|---|---|
| Add Task | creates a task in the Inbox (or opens the form) |
| Tasks Due Today | returns the open tasks that are due today or earlier |
| Complete Task | marks a chosen open task as completed |
| Open Task | brings TandemLoop to the front and shows the task |
In the Shortcuts app, you choose the task by searching for its title. With Siri, phrases like “What’s due today in TandemLoop” or “New task in TandemLoop” work, for example.
No data folder, no answer: The actions need an open data folder. If none has been chosen yet, they say so and ask you to open TandemLoop.
Notifications for Due Tasks
Turn on Notifications for due tasks so TandemLoop reminds you of due tasks. When you turn this on, the system asks for permission once. The setting is off by default.
- Time for all-day due dates—when a task without a time notifies you (default 9:00 AM). A due date with a time notifies you at that time.
- Also remind me on the do date—an additional notification on the task’s do date. If that day is the same as the due date, you get only one notification.
A task’s reminders arrive even when the switch is off—the first time you set a reminder, the system asks for permission. They appear on every device where TandemLoop is allowed to show notifications; if an AI agent changes a reminder in the file, the new time applies as soon as TandemLoop notices the change. On iPhone and iPad, the app also checks for this in the background—iOS decides when; a reminder set by an agent is only certain once the app has seen it beforehand.
Every notification offers three actions: Complete marks the task as completed, Later reminds you again in one hour, Tomorrow moves the date (or the reminder) to tomorrow, keeping the time. Tapping the notification opens the task. The next occurrences are scheduled (up to 60); after every change, TandemLoop recalculates the schedule. Times are local time: 2:00 PM stays 2:00 PM, even when you travel.
Notifications for Handbacks
When an AI agent hands a task back to you for review or with a question, TandemLoop notifies you; tapping the notification opens the task. Each handback is announced once—if the agent hands the same task back again after your reply, you get another notification. The notification arrives as soon as TandemLoop sees the change: if the agent wrote while the app was closed, the next time you open it. The same switch also notifies you when the agent has picked up your requested changes or reply. The Notify when the agent hands back a task switch is on by default.
Widgets
Widgets show the most important things from TandemLoop on the Home Screen and Lock Screen of iPhone and iPad, as well as on the Mac desktop and in Notification Center. You add them like any other widget: on iPhone or iPad, touch and hold the Home Screen and choose Edit › Add Widget; on the Mac, right-click the desktop and choose Edit Widgets.
| Widget | Shows | Sizes |
|---|---|---|
| View | the open tasks of a saved view of your choice | small to extra large, Lock Screen |
| Today | tasks that are due today or earlier or planned for today | small to extra large, Lock Screen |
| Inbox | number of items and the newest ones, plus Add | small, medium, Lock Screen |
| AI Agent | what the agent recently completed and what’s still open for it | small to large, Lock Screen (iPhone/iPad) |
You choose the view for the View widget when editing the widget. All views with a task list are available; Multi-View, Dashboard, and project and milestone views aren’t.
- Check off: Tap the circle in front of a task—it’s completed immediately.
- Open: Tapping a task opens it in TandemLoop; tapping the header opens the view or the Inbox.
- Add opens Quick Entry.
Small widgets show the count and the next task, larger ones a list; whatever doesn’t fit appears below as “+ N more.” On the Lock Screen, task titles appear only if your device is allowed to show content while locked.
How up to date? Changes in TandemLoop appear in the widget after a few seconds. On iPhone and iPad, the widget picks up changes made by an agent or another device roughly every 15 to 30 minutes—iOS determines the exact time. A completed task disappears even without the app open; new tasks appear once TandemLoop has seen them (in the foreground or during background refresh). On the Mac, the running app updates the widgets immediately; tasks checked off in the Mac widget are recorded as soon as the app is running.
Menu Bar (macOS)
With Show icon in menu bar (off by default), a TandemLoop icon appears at the top right. Its menu contains New Task… (opens the Quick Entry window), the Due Today list with up to ten tasks—clicking one opens the task—and Open TandemLoop.
The “Add as Task in TandemLoop” Service (macOS)
Select text in any app and choose Services › Add as Task in TandemLoop in the context menu. The first line becomes the title, the rest the notes; the task lands in the Inbox (see Inbox & Quick Entry).
Service not visible? In System Settings › Keyboard › Keyboard Shortcuts › Services, you can turn the item on or off and also assign it a shortcut of your own.
Share Sheet (iPhone and iPad)
In Safari, Mail, Notes, Messages, and any other app with Share, you can save content as a task without opening TandemLoop:
- Tap Share and choose TandemLoop.
- Check the title and notes, choose a different Destination if needed, or turn on For the AI agent. You’ll find tags and dates under More.
- Tap Save. After a brief checkmark, the form closes.
| What’s shared … | Title | Notes |
|---|---|---|
| a link | page title, otherwise the domain | the link |
| text | first line | the rest of the text |
| a link with selected text (Safari) | page title | link and selected text |
The share sheet doesn’t offer TandemLoop for images and files—TandemLoop doesn’t have attachments.
The task is created as a completely normal task created by you and appears on your other devices as soon as iCloud syncs—even if you shared it while offline. If TandemLoop is open at the moment, it shows the task immediately.
No data folder chosen yet? Then the share form saves the task for later. It lands in the Inbox as soon as you choose a data folder in TandemLoop. The same applies when the data folder can’t be reached right now: the task is created the next time you open TandemLoop.
