In addition to filters, sorting, and grouping, you control for each view which information appears in the rows or cards and how the chosen layout looks.
Where to find these settings—You configure a view in the view editor (right-click the view › Edit…). The only exception is the Columns menu in the toolbar of a Multi-View (see below).
General Options
These options are in the editor under Actions.
Fields
Under Fields (show_fields), you
determine which details appear next to the title in the rows: Title,
Status, Assigned To, Delegation, Due Date, Do Date, Waiting For, Tags,
Created By, Completed On, Completed By, Created, and Modified. All
fields remain visible in the Inspector.
Include Inbox
The option Include Inbox
(include_inbox) adds tasks from the Inbox to the view
results. It’s off by default. Multi-View and Dashboard don’t offer
it.
Show Project Context
When you turn on Show project context
(show_project_context), each task shows a reference to its
project. This is especially useful in views that mix tasks from several
projects.
Only Next Action
With Only Next Action
(only_next_actions), you reduce a view to the next
actionable task in each case—the classic “next actions” view.
Actionable means: status active, no defer date in the future, project
active.
| Value | Effect |
|---|---|
| Off | No reduction—all tasks that match the filter and sorting |
| Per Project | In sequential projects, exactly one task—the first available one in project order, whether it’s directly in the project or in a milestone |
| Per Milestone | In sequential projects, one task per milestone, plus one for the tasks directly in the project |
For parallel projects and for standalone tasks, both modes still show all available tasks—that’s exactly the difference between a parallel and a sequential project. In Multi-View and Dashboard, the option applies in each column or tile: project and milestone columns then show only their next action.
Combine Per Milestone with grouping by milestone (→ Grouping) so that each milestone appears as its own group with its next action.
Options per Layout
Depending on the chosen layout, additional settings appear under Layout.
Table
| Option | Meaning |
|---|---|
| Row Density | Compact or Comfortable |
| Sort by clicking column headers | Clicking a column header sorts by that column |
Board
| Option | Meaning |
|---|---|
Board By (board_by) |
Basis for the columns: Status, Assigned To, or Delegation |
| Swimlanes | Horizontal division by a second criterion (Status, Assigned To, or Delegation) |
| WIP Limit (per Column) | Maximum number of tasks per column; if it’s exceeded, the column shows a warning |
| Enforce WIP limit strictly | Prevents you from dragging more cards into a full column |
| WIP Limit per Column (Optional) | A separate limit for individual columns |
| Collapse Completed column | Keeps the column with completed tasks collapsed to save space |
| Show Columns | Hides individual columns |
With Status, the board shows the columns Active, Waiting, Completed, and Dropped by default. If other statuses occur, they appear as additional columns—For Review and Question right after Active; you can’t drag cards into these two columns. With Delegation, there’s also the column “None.” To change the order of the columns, drag them by the column header. The cards show the due date, tags, and project.
In the editor, you set under Filter which tasks appear on the board (All, Active, Due Today, Overdue, Waiting, Inbox) and how they’re sorted.
Agenda
| Option | Meaning |
|---|---|
| Show Overdue group | Overdue tasks appear as a separate section at the top (default: on) |
| Dropping into a group changes the date | If you drag a task into another section, the app sets its due date accordingly (default: on) |
Calendar
Under Week Starts On, you choose Monday or Sunday. If the view file doesn’t specify it, your region’s first day of the week applies. If you drag a task onto another day, its due date changes; a time is kept.
Multi-View
The Multi-View shows several projects, milestones, or views side by side in columns.
| Option | Meaning |
|---|---|
Number of Columns (column_count) |
Number of columns (2–8) |
Show at Once
(visible_column_count) |
All or fewer columns than there are—then the Multi-View becomes a carousel |
| Show completed tasks | Also shows completed tasks in the columns |
| Show intent in header | Shows a project’s intent in the column header |
| Show success criteria in header | Shows the success criteria in the column header |
| Wrap long task titles | Wraps long titles instead of truncating them |
| Fit to Window Width | Distributes the columns across the available width—saved only on this device, no effect in the carousel |
| Columns | For each column, assign a project, a milestone, or a view with Choose, set color and icon, or clear it with Remove |
Directly in the Multi-View:
- Column width: Drag the divider between two columns; the width applies to all columns and is saved in the view.
- Reordering columns: Drag a column by its header to another position. The header also offers Change Column, Color and icon, and a menu for creating a New Task or New Milestone.
- Carousel: Use the arrows at the edge to page through; on the Mac, also ← and →; on iPad, by swiping.
- Columns menu in the toolbar: Number of Columns, Show at Once, and Fit to Window Width without opening the editor.
On iPhone, the columns are stacked vertically.
Dashboard
The Dashboard arranges projects, milestones, or views in a grid.
| Option | Meaning |
|---|---|
| Columns / Rows | Size of the grid (1–8 columns, 1–6 rows) |
| Show completed tasks, Show intent…, Show success criteria…, Wrap long task titles | As in the Multi-View |
| Rows | For each row, an optional Title and Show at Once—fewer tiles than columns turn the row into a carousel |
| Cells | For each cell (for example, “R1·C2” = row 1, column 2), the target with Choose, color and icon, and the Column Span and Row Span |
A tile with a span occupies several cells; as soon as a tile spans, row titles and the carousel no longer apply. To move a tile, drag it to another position, or onto another tile to swap the two.
