With grouping, a view divides its results into named groups—for example, all tasks by project, by status, or by due date. This way you see right away how your tasks are distributed.
What Groups Are Good For
Instead of a long, ungrouped list, groups show you right away how many tasks belong to a project, which ones are due today, or who is working on a task. You can collapse and expand groups—this saves space and directs your focus.
Which Fields You Can Group By
In Simple mode, you choose under Grouping between Project, Area, Folder, and Status. In Advanced mode, you set the grouping per section under Group By; all fields are available there:
| Field | What each group shows |
|---|---|
| Project | Project title; tasks without a project go into “Standalone Tasks” |
| Milestone | Milestone title or “No Milestone” |
| Milestone / Project | Milestone title; tasks directly in the project under the project title, tasks without a project under “Standalone Tasks” |
| Area | Area name |
| Folder | Folder name or “No Folder” |
| Tags | One group per tag; tasks with several tags appear in each matching group, tasks without a tag under “No Tags” |
| Status | Active, Question, For Review, Waiting, On Hold, Someday, Completed, Dropped |
| Assigned To | Human, AI |
| Delegation | Do, Draft, Ask, No Delegation |
| Created By | Human, AI |
| Due Date / Do Date | Time windows (see below) |
| Completed On | Completion day |
| Custom attributes | One group per value, items without a value under “No Value” |
Time Windows for Date Groups
When you group by Due Date or Do Date, the app doesn’t group the tasks day by day but combines them into time windows:
Overdue — date is before today
Today — today
Tomorrow — tomorrow
This Week — later in the current week
Next Week — in the coming week
Later — everything further in the future
No Date — no date set
When a week starts depends on your device’s region.
Group Order
As soon as a group field is selected, you set the order of the groups:
| Order | Behavior |
|---|---|
| Alphabetical | Groups by their name (default) |
| By Count | By the number of items per group |
| Date | Only for date fields: chronological, “No Date” last |
| Custom Order | Appears as soon as you’ve reordered groups in the list with drag and drop; the app saves the order in the view |
Next to it, you choose ascending or descending. If the view file contains no group order, the app arranges date groups chronologically and status, assignment, and delegation in their fixed order.
Show Empty Groups
The option Show empty groups (off when you create a view) shows groups that currently contain no tasks. This is useful when you want to see at a glance which time windows or values can occur at all.
Tip—Group by Due Date and turn on “Show empty groups” to see a complete timeline—including the group without a date.
Good to know—The Board doesn’t use grouping; there, the columns already form the groups. If a view has several sections, each section groups on its own. You can find details on sections in Understanding Filter Rules.
